Term: Permanent Full-Time
Reports to: Director, People & Culture
Salary Range: $66,697 - $83,372 - $100,046 (typical hiring range: $71,000 - $79,000)
Location: We are a pan-Canadian healthcare organization and welcome candidates from across Canada. Our head office is located in Ottawa, Ontario and we welcome flexible work options such as permanent/fully remote, hybrid, flexible work hours, and compressed work weeks.

Your core responsibilities include:

  • In collaboration with the Finance team, prepare and complete payroll-related journal entries in a timely manner.
  • Liaise with other People & Culture team members to ensure the accuracy of data entry related to employee changes that affect payroll (leaves, transfers, employment status changes, etc.).
  • Calculate earnings and deductions corresponding to overtime, parental leave top-ups, and pension contributions; and maintain documentation to support calculations.
  • Process timesheets for hourly employees and calculate vacation and statutory holiday pay as appropriate.
  • Address payroll-related inquiries in a timely manner and with a customer-oriented approach.
  • Continuously evaluate, suggest, and implement improvements to payroll processes.
  • File pension forms including enrolment, departures, leaves, etc
  • Prepare and submit monthly pension contribution remittances.
  • Referencing HEC's salary administration guideline, determine the appropriate salary offer / placement for new hires within their position’s range, and provide that information to the Director, People & Culture for approval.
  • Coordinate the annual salary review exercise, and in collaboration with the Director of People & Culture, formulate recommendations for annual adjustments in line with data gathered from relevant sources.
  • Coordinate the salary adjustment process based on approval by the Board of Directors and with considerations around internal equity.
  • Coordinate the job evaluation process as needed.
  • Participate in regular compensation surveys and periodic market reviews to ensure HEC continues to be a competitive employer.
  • Liaise with benefits providers to ensure the accuracy and timeliness of changes related to employee movements or changes to employee circumstances.
  • Advise employees and managers on the correct interpretation of the Leave Policy, including entitlements to sick leave, long-term disability, and short-term disability.
  • Support recruitment efforts when necessary.

Education and experience you will need to have:

  • Bachelor’s degree in accounting, business administration, human resources, or a related discipline or equivalent knowledge and expertise is required.
  • Canada Payroll Association certification, such as PCP or CPM is required.
  • Minimum three (3) years’ experience managing payroll for a medium to large organization.
  • Experience managing a pan-Canadian payroll (preferred).
  • Experience with payroll platforms required with preferred experience with ADP-Workforce Now.
  • Minimum three (3) years’ experience overseeing payroll, benefits and compensation as a specialist or as part of a generalist role.
  • Advanced computer software skills in Microsoft Office suite, and Excel in particular.
  • Bilingual in French and English is preferred (English communications at Advanced “C” level and French communications at Intermediate “B” level).
